One of the first steps in designing the internal communication plan within a company is to set the objectives of communication in a company. Alongside the analysis of the current situation, this is the starting point of the document. The objectives are multiple, so let’s explore them one by one. But before delving into them, it’s worth noting that we won’t be able to achieve them without the right internal communication tools. It’s the company’s duty to provide these to its employees.

Informing about what is happening in the company

The objectives of the internal communication plan in a company are somewhat shared with external communication. But while the latter is aimed at corporate spheres -customers, suppliers, investors, the media in general- the former is aimed at employees. The employees should know the mission, philosophy, values, or strategy of the company they work for. Internal communication is key when it comes to informing these aspects to the employees. Embracing these values will turn them into excellent brand ambassadors.

This transparency helps prevent the spread of rumors. Rumors are conjectures, which can be true or not, but that always end up hindering the organization’s activity. Managing these issues should also be one of the objectives of communication in a company. Avoiding, identifying, and combating rumors is the best way to prevent these communication problems within the company. Being clear and transparent, or making the corresponding clarifications, will help to stop them.

Managing information exchange between areas

A company is like the human body: it consists of different organs that must work together to achieve success. If one fails, the rest will struggle. Thus, the goal of internal communication is to organize and improve information flows between company departments. In a way, this goal allows democratizing communication within the company. For this, we count on different internal communication tools:

  • Internal chat, for instant communication
  • Email, for document exchange
  • Meetings and video calls, for all kinds of gatherings
  • Employee portal, for pay stub downloads, shift schedules, vacation management, etc
  • Employee manual, to introduce the company’s working methods

As stated earlier, it’s the organization’s responsibility to provide these internal communication solutions to its employees. The company should use its means to promote the use of internal chat, regulate meetings, or come up with a practical employee or welcome manual.

Creating a sense of belonging

Another goal of communication in a company should be to strengthen the feeling of belonging to the company. Simply reducing rumors and encouraging transparent communication already helps employees to feel more comfortable in the organization, as does encouraging communication between departments. This interaction creates interpersonal relationships that foster a sense of belonging to a collective. The effort will be greater than if this bond between employees did not exist.

One of the consequences of a sense of belonging is that it promotes talent retention. This could be another goal of communication in a company as it greatly facilitates Human Resources work. Not only will it retain talented employees, but it will also prevent the need to cover for resigned employees. High employee turnover is counterproductive to team cohesion, and it does not help to create a sense of belonging. However, if talent remains linked to the company, interpersonal relationships are encouraged.

Democratizing communication: more internal participation

Is it inevitable that top-down internal communication dominates vertical communication? No. We have internal communication tools like the suggestion box or the actual meetings where we can promote internal participation. An exchange of ideas, a dialogue, or a debate is always beneficial for the company. Communication must be democratized. Promote upward communication so that the company’s management knows what is going on at the lower levels.

Often, upper management makes decisions without knowing the concerns or needs of the employees. Decisions that have a negative impact on the staff, creating a certain detachment from the organization. Management must have a thorough understanding of the business reality, which will facilitate decision-making greatly. Listening to employees is not enough; they must be taken seriously and given a response to their proposals or requests.

Sharing successes

Successfully meeting targets is a shared achievement, and internal communication is vital to involve all employees in the accomplishments. Having achieved a milestone or having completed a project is a success which should be celebrated by everyone involved in it. Acknowledging work well done is another one of the communication objectives in a company that will allow us to boost the level of satisfaction and involvement of the employees with the company they work for.
