Within companies, it is very common to arrange and hold collective meetings. However, to optimize and achieve higher goals, it is relevant to propose a calendar of personal meetings where each worker expresses their concerns. In addition to traditional meetings, companies should schedule one-to-one meetings within their calendars. This, with the aim of achieving improved operation and production capacity. Thanks to these encounters, employees can present their problems and set goals to each superior in question.

What are one-to-one meetings and when is it advisable to propose them?

Within one-to-one meetings, the goal is to create a space through a brief encounter, where the executive and the worker can have a dialogue without any kind of external pressure. In it, the person in charge will have the opportunity to get to know the priorities and goals of the worker being interviewed. On the other hand, he or she can also present the company’s goals in the short, medium, or long term.

In these types of meetings, we can obtain very valuable information, which will allow us to anticipate possible company problems. This way, we can gradually resolve the first issues before they take advantage and generate a bigger problem within the company.

To ensure we maintain a productive and motivated team, it would be advisable to configure agendas to arrange a one-to-one meeting, at least, once a week. The main advantage is that, by setting short intervals between each meeting, we are always up-to-date. Therefore, scheduling an appointment every 15 minutes should be sufficient. This way, the total time dedicated to these specific meetings should not exceed 2 hours per month.

How to conduct these types of meetings?

  • One important point: preparation. Even though one to one meetings should be very informal, it is convenient to take a few minutes beforehand to design the meeting’s structure. This way, we can be sure to address the most important topics. We must also allow room for improvisation, as we do not know what topics may arise through the conversation.
  • Focus on transparency. Once the worker presents the difficulties they face during work, you must be completely honest and allow them to express themselves freely. Only then can you understand them better. Creating a comfortable and safe environment, where one can speak without holding back, is the correct formula to obtain valuable information.
  • Take action. In the one-to-one meeting, some difficult subjects to address may come up in which you should intervene to solve certain difficulties. Therefore, before ending the conversation, you should clearly specify the steps the employee should take.
  • Don’t postpone any one-to-one meeting. Once you set the date and time, it’s important not to fall into the temptation of canceling it to address other matters. You should always see the employee as the company’s main asset. Therefore, knowing their concerns should be a priority task on our list of things to do.

Benefits of one-to-one meetings for the company

To understand the advantages that these ‘one-to-one’ meetings can offer to a company, we must start from the premise that, the success of a company depends on its ability to communicate with its workers. Thus, a company where one-to-one meetings are integrated into daily life, can have a highly productive team.
