Don鈥檛 know what an internal communication plan is? We will never tire of repeating that including good internal communication in a company is the first step towards success. Without it, any business is doomed to failure.

It鈥檚 a fundamental requirement to utilize all the organization鈥檚 potential, and the best way to enhance it is to have a communication plan. Can internal communication be efficient without a plan?

Perhaps it can, but if it鈥檚 not regulated, it鈥檚 likely to end poorly. We must not forget that it is a basic pillar for the organization to function.

What is a Communication plan?

When we refer to what a communication plan is, we are talking about the document that collects all the necessary elements for efficient and effective internal communication. It is the document that governs how the organization鈥檚 internal communication should be.

In it, the different internal communication objectives that must be achieved within a certain timeframe are compiled and specified. Along with objectives, it defines the various programs and channels of internal communication that the company will have.

Among the different communication programs, it indicates who is responsible for its execution, its objective, and who it is aimed at. The key messages, available channels, evaluation methods, and monitoring must also be defined.

The plan should also include a communication plan timeline that helps to improve the situation. Starting from the current situation, the company must activate the necessary measures to enhance internal communication.

To understand what a communication plan is and implement it successfully, it is necessary to know the starting point. For this, it is essential to analyze the current situation.

The pros and cons of internal communication, the channels used, the direction in which it is produced, etc. are aspects that will condition future communicative actions.

It is also necessary to take into account the use that the employees make of these internal communication channels. If we already have the tools, but they are not used well, it will be necessary to correct the situation.

What is the purpose of an internal communication plan?

The simple fact of having a tool like this should contribute to a more fluid communication within the organization. One of its great strengths is its multidirectional nature.

Thus, it can regulate from peer communication to the communication of workers at the base with the high spheres of the company. To better understand its advantages, let鈥檚 see what a communication plan is and what it鈥檚 used for:

  • Improves the work environment: fluid communication enhances interpersonal relationships among workers. The collaborative spirit will be greater, improving the work climate.
  • Reduces rumors: when the organization transmits truthful information clearly and quickly, rumors have no place. This creates a sense of security and contributes to improving the work environment.
  • Sense of belonging: workers feel stimulated and recognized, they identify with the company. This will make them strive even more, reducing the worker turnover rate and favoring the integration of new additions.
  • Higher productivity: as a direct consequence of this greater involvement, productivity will rise. It will be easier to achieve the set objectives.
  • Minimizes the consequences of a crisis: the staff will be trained to report failures and face crises. If communication flows at this critical moment, its effects can be controlled.

Internal communication channels

Fortunately, the range of internal communication channels is growing. This does not mean that we should include all of them in our plan, as it will be conditioned by the company鈥檚 characteristics and needs.

A large company with hundreds of employees and several delegations is not the same as a small business with 10 employees. Issues such as the use of internal chat must be regulated in the communication strategy.

It鈥檚 a very useful tool, but it must be used well. It is also important to respect the right of employees to disconnect.

Company emails, video calls or meetings are other common internal communication channels whose use should be regulated in the plan. If it does not exist, it is also interesting to promote the employee portal.

This is a unique space where each worker has access to documents such as wages for download, holiday and day off management, etc.

Another channel we should not forget is the employee suggestion box. It is presented as the best channel for upward vertical communication, allowing workers to launch their proposals to management.

Managing internal communication with Sesame HR

There are many ways to manage an internal communication plan. One of them is to take advantage of the different functions of the HR software from Sesame HR to enhance communication within the company.

For example, via internal chat or the issuance of statements. Optimized alert and notification systems allow organization managers and workers themselves to be informed of any changes that may occur.

When implementing an internal communication plan, it must be maximally adapted to the company. We do not benefit from copying the plan of other organizations, as each one is different.

We have specific informational and communication needs to be met, and the plan must respond to these needs.

The figure of the internal communication manager who participates in creating, disseminating, and monitoring the plan is a plus in meeting the objectives and guidelines set.

Now that we know what a communication plan is, it鈥檚 time to create the best and most comprehensive plan for our company.
