Internal communication is the cornerstone of any company. It allows for a fluid relationship between workers, promoting productivity and collaboration. To improve internal communication at work, it is essential to design an internal communication plan. In it, the key internal communication tools and dynamics will appear to promote communication in the organization. But beyond this document, there are a series of dynamics to improve communication at work that we can put into practice. Let dive right into it!

Improve communication at work with tools

The first step of an internal communication plan will be to define the best internal communication tools for your company. Then, you can analyze their effectiveness and the alternatives or supplementary tools that are available. An internal chat is one of those tools that is essential, especially if there are employees who work remotely. It allows you to have a conversation in real time, and workers can create different chats according to the projects, teams or departments that they are part of.

When implementing an internal chat, the use of email is reduced. It is also the best solution when it comes to exchanging documents or sending announcements, but it can be a drag on productivity. When we use email instead of chat, inboxes end up swamped with long email chains. Besides, it is interesting to have an employee portal. It is a space where each worker can check and download their payroll, and shift schedules, manage holidays and days off, and so on.

An internal communication plan should establish the requirements for meetings as well. They are a great resource for internal communication. Something as simple as regulating meeting duration or limiting attendance to only essential people is key to taking full advantage of their potential. Afterwards, attendees should inform their colleagues or subordinates of the conclusions. Something similar happens with videoconferences.

Suggestion boxes are one of the most interesting solutions when it comes to workers transmitting their concerns to management. Anonymity allows you to express yourself more freely. In order for this initiative to be efficient, companies must offer a response to all suggestions, either accepting them or explaining why they are rejecting the proposal.

Alerts and notifications when communicating at work

Tools like an internal chat would lose their efficiency if it weren’t for the notifications that let us know about new messages. Workers must be able to manage alerts to work efficiently. Silencing non-priority groups is the first step. Solutions such as the Sesame HR human resources software allow us to manage internal communication efficiently. Features such as its internal chat, announcements or the employee portal and its alerts and notifications allow management and employees to maximize their potential.

Ways to improve internal communication at work

Beyond having an efficient internal communication plan, companies can improve communication at work in different ways. One possible alternative is using games or activities away from conventional work to contribute to strengthening relationships between workers. They have the same effect as team-building activities because in the end, we will end up forcing our staff to communicate in a different environment than usual.

4 strategies to improve internal communication

We came up with several ways that will help strengthen communication in your company. Your internal communication plan may include carrying out these activities periodically as a way to improve communication in the company. However, some of these methods could enhance other skills, beyond communication skills:

  1. Card exchange: several teams of three or four workers are created, and each team receives an envelope with cards. The goal will be to negotiate within a given time with the other groups to exchange them. The team that completes the most cards wins.
  2. Guide your partner: a worker must guide their partner, who will be blindfolded, on a track full of obstacles. Thus, trust between employees and the ability to transmit clear and effective information is enhanced.
  3. Get it back: it is also for teams of two people, one blindfolded. The goal is to recover a specific element in the room where it is played, for which the worker who sees must give instructions to the one who is blindfolded. It serves to promote concentration and collaborative work. The more teams there are, the more difficult it will be.
  4. Building Blocks: We need at least three employees. One, the director, will have a finished block construction. The second, the runner must take the pieces and instructions to the third, the builder, so that he builds a construction identical to the first one. Director and builder will have their backs to each other, so they cannot communicate.

Advantages of implementing communication methods at work

Developing these activities not only improves communication at work. It is a way of promoting the feeling of belonging to a group, of promoting the relationship between workers and with the company. They allow us to break the ice while promoting the communication and socialization skills of our staff. They can be a good resource when it comes to preventing the appearance of conflicts or solving them. Although some consider them an eccentricity, more and more companies are betting on different ways for the sake of better internal communication.

Thanks to these tools and dynamics we can considerably improve internal communication among workers in the company. In addition, if you want to know more about this and other topics related to communication within a company, do not hesitate to consult our blog.
